Assign Employee to Work Order

Explanation

This activity is used to assign a scheduled work order to the employee who is responsible for executing the work. A plan is a set of work orders that have received an allocated start and an allocated end as well as the allocated executed by.

Once the work orders which are transferred to the Scheduling Engine are scheduled, an allocation plan is returned to IFS Applications. If the suggested plan is suitable, you can assign the work orders to the employees allocated by the Scheduling Engine or if not available to the user who is currently logged in to IFS Applications. Note: The maintenance employees in IFS Applications are referred to as resources in Mobile Workforce Management. If the suggested plan does not meet the requirements, you can choose to wait for the next plan or manually change the plan in the iSWB (Scheduling Work Bench), which is the web based user interface for Mobile Workforce Management. When the employee is assigned to the work order, the status of the work order is automatically set to Assigned.

When orders are allocated to employees (the first stage of the scheduling, carried out by the DSE), the order only stays allocated to the particular employee for as long as the Scheduling Engine decides that this is the best solution, under the current plan and conditions. As time passes, and conditions change, the allocation may be changed.

Once the order is assigned to an employee (the second stage of scheduling, carried out by the SDS or manually), the order stays with the employee. It is only removed from the employee if the order is canceled or it is unassigned (by the SDS or manually).

It is also possible to directly set a work order to the Assigned status by using the Work Order Status option. However, when this option is used the work order is considered manually scheduled and will not be scheduled by the Scheduling Engine (This can be seen because the scheduling status is Unallocated, whereas orders assigned as part of the scheduling process show a scheduling status of Committed). Furthermore, if an employee is not entered in the Executed By field on the work order or if the given employee is not set up as a scheduling resource (in Basic Data for Scheduling/Resource), the work order will not be transferred to the Scheduling Engine. Work orders that are scheduled by the SDS (Scheduling Dispatch Service) are automatically assigned to the employee suggested by the DSE based on the given scheduling rules. Therefore, when such a work order is returned to IFS Applications it is automatically set to the Assigned status.

Procedure

The following procedures can also be performed in the Scheduling tab which is found in the Prepare Work Order, Service Request and Report In Route Work Order windows.

Follow this procedure to assign the work order to the employee allocated in the Scheduling Engine:

  1. Open the Scheduled Work Orders window and query (F3) for the required work order number.
  2. Verify that an employee is shown in the Allocated Executed By field, and that the scheduling status is Allocated.
  3. Right-click on the record and then click Assign to Allocated Executed By.
  4. Verify that the allocated employee's ID is shown in the Executed By field on the work order and that the work order is moved to the Assigned status.

Follow this procedure to assign a work order to the current user:

  1. Open the Scheduled Work Orders window and query (F3) for the required work order number.
  2. Right-click on the record and then click Assign to Current User.
  3. Verify that the allocated employee's ID is shown in the Executed By field on the work order and that the work order is moved to the Assigned status.

Note: If scheduled by the SDS, the work orders will be assigned automatically. Furthermore, it is also possible to manually assign work orders in the iSWB.
