Position Access Configuration

Explanation

This activity is used to define access rights for a position.

As a result of this activity, position based access will be defined for a position. Every employee assigned a supervising position ID will automatically receive all associated access rights.

Procedure

  1. Open the Position - Access Setup window.
  2. Search or populate to find the structure ID for which you want to define position based access.
  3. On the Access Definition tab, create a new record.
  4. In the Supervising Position ID field, enter the ID of a position that will receive access rights.
  5. In the Accessed Position ID field, enter the ID of a position that will become accessible by a supervising position.
  6. Select the Access to Position Holder check box to grant access to all employees assigned to the position specified in the Accessed Position ID.
  7. Select the Access All Subordinate Positions check box to grant access to subordinate positions of the position entered in the Accessed Position ID.
  8. In the Selection Type field, define if the entire record will grant or remove access. If the include option is selected, access rights selected in all other fields will be granted. If the exclude is selected, all access rights will be excluded.
  9. In the Access Role ID field, select the access role. It limits what fields can be viewed or modified by a supervising position.
  10. Enter the validity period for the access assignment in the Valid From and Valid To fields.
  11. Save the information.
  12. If you want to change the order in which access is generated, right click the record you defined and click Generation Order. The Generation Order dialog box will appear.
    Note: This is important only if you have several records defined for a single supervising position. If a supervising position receives access to a subordinate position from several access records, the records overwrite each other. As a result, the subordinate position is accessible only with the access role of the last overlapping record. You can read more about it in the dialog box's description.
  13. Use the arrows to move access records and change their order. When you are done, click OK.
  14. Save the information.
