Create Transport Task

Explanation

A transport task is a way to inform either the truck driver or the stacker that goods (parts or pallets) need to be transferred to a different inventory location. Transport tasks are handled differently in different parts of IFS Applications. In most parts of IFS/Inventory, for example, transport tasks can be used for all kinds of goods.

Note: When moving the pallets, only the entire pallet can be moved. This function does not permit moving individual parts of a pallet.

Manually

You can create new transport tasks from the Transport Task window.

Note: You can also create transport tasks using the Move to New Transport Task right-mouse button option in the the Transport Task window and the Transport Task Lines window.

At Receipt

You can create a transport task in Receipt from the following windows: the Purchase Order Receipt window, the Purchase Order Receipt/Pallet tab, the Move Into QA window and the Move Into Stock window.

The creation of transport tasks is also done by triggering the Putaway function.

In Inventory

From the Transport Task window in IFS/Inventory, you can move goods between different inventory locations. Specify the part ID, any new site, and the new inventory location. There are two default moving methods from which to choose, either Move to Inventory (if the goods are being moved within the site) or Move to Transit (if the goods are being moved to a different site, or when it is known that the move will take an unusually long time). You can also create transport tasks for pallets from Handle Pallets on Delivery Location if the pallets are placed in a pallet delivery location. Note: When moving pallets, only entire pallets can be moved. This function does not permit moving individual parts of a pallet.

However, when an analysis of parts is required in IFS/Quality Management, the parts cannot be moved into inventory before the analysis is confirmed.

Transport tasks can also be created via pallet refill or Kanban.

When creating a transport task it is possible to not only set the from-location and the to-location for the transport task line, but also to set a forward-to location number. If a forward-to location number is entered, it will result in a new transport task when the transport task is executed. The new transport task will have the to-location from the executed transport task line as the from-location and, the forward-to location will be the to-location for the automatically created transport task. If the Auto Assign Drop-off Location on Manual Transport Task check box is selected and a drop-off location exists between the from and to location, the to-location will automatically be changed to the forward-to location and the drop-off location will be the to-location on the transport task line when the line is saved. Drop-off location can be defined for singled and pallet-handled parts on the Warehouse Navigator/General tab on warehouse and bay level. Drop-off locations on warehouse level are used when moving a part or pallet between two warehouses using the transport task. On bay level, it is used when moving between bays within the same warehouse using the transport task.

Prerequisites

The receipt line must have been entered as arrived.
A location group must have been entered in Inventory Part/Pallet.
When moving goods to a different site, your user name must be entered on the other site, too. Do this in the Sites per User window. The part must also be entered on the other site. This can be done by using Copy Parts to Site. However, after copying, you need to add some conditional data to the inventory part on the new site.
To move parts in project inventory to a location at a different site, that site must have been defined as an allowed site for the project in the Project window.
If the Mandatory Create Analysis check box is selected in the Quality Basic Data window, then the analysis must have been confirmed to be able to move the received quantity into the inventory location. If you try to move the items that require an analysis into an inventory location without confirming the analysis, a message will appear.

System Effects

A transport task is created so that the driver of the truck or the stacker can accomplish the task. You can view the task ID in the Transport Task ID field. You can print a transport task report by using the Print Transport Task right-mouse button option. However, if you are in any window other than the Transport Task window, you must first open this window by right-clicking in the lower part of the window.
As a result of this activity, the goods are physically moved by the truck driver. Then the truck driver, or any other relevant system user, will be able to execute the transport task.

Note: When considering the inventory and the movement of the parts, it is important to note that there are two other activities— Transfer To Project Inventory and Transfer To Standard Inventory—that are included in the scenario Transfer To/From Project Inventory. These activities result in the transfer of parts between standard and project inventory and only show whether the parts are connected to a project or not; they do not result in the physical movement of parts. Similarly the Create Transport Task activity will only move the parts between locations, without changing the connected project, if any.

Procedure

IFS/Purchasing, Receipt Handling

Create a transport task with Putaway in the Purchase Order Receipt window:

Either populate or query for the order number in question. If you have several receipts for an order, you must also select the correct receipt number by using the list in the Order No field.
Click the Pallet tab.
Select the pallet line that you want to move, right-click and then click Perform Putaway.
A transport task is created according to the Putaway rules. The Transport Task ID column displays the ID of the created task.

Create transport tasks with the Move into QA option in the Purchase Order Receipt window:

Either populate or query for the order number in question. If you have several receipts for an order, you must also select the correct receipt number by using the list in the Order No field.
Click the Pallet tab.
Select the pallet line that you want to move, right-click and then click Move into QA. The Move Purchase Order Receipt dialog box appears.
A default location is suggested by the system in the Destination Location field. You can change the location if needed. Click List to view the List of Values.
Click OK to close the dialog box, and a transport task is created thereafter. The Transport Task ID column displays the ID of the created task.

Create transport tasks to move parts into a stock location in the Move into Stock window:

Either populate or query for the order number in question. If you have several receipts for an order, you must also select the correct receipt number by using the list in the Order No field.
Select the line that you want to move, right-click and then click Perform Putaway.
The Transport Task ID column displays the ID of the created task.

IFS/Inventory, Transport Task

Open the Transport Task window and select New.
Save the transport task. The transport task receives the Created status.
Create a new line on the Single tab or Pallet tab. A line number is displayed automatically.
Select the part or pallet number you want to move by using the List of Values.
For single-handled parts, select the from location, using the List of Values. Values in the location type Warehouse, Bay, Row, Tier, and Bin fields automatically appear.
Using the List of Values, select the to location to which you want to move the parts/pallet.
For single-handled parts, select a lot/batch number using the List of Values.
A note text can be added by right-clicking and then clicking Note.
Save the information.
If needed, add additional information on the new line.
Save the record.
A transport task report can be printed by right-clicking and then clicking Print Transport Task.

IFS/Inventory, Parts in Delivery Location

If you have adjusted the quantity of pallets, you can use Handle Pallets on Delivery Location to begin delivering the pallets to inventory according to these steps:

In the pallet record, either on the header or by selecting the pallet lines to be delivered to inventory, right-click and then click Perform Putaway.
Click OK on the information message that appears to create a transport task for pallet.
A transport task ID is displayed in the Transport Task ID field.
