Enter GTIN on Part Catalog

Explanation

This activity is used to create Global Trade Item Number (GTIN) in the Part window. A GTIN can be of 8, 12, 13 or 14 digits length, represented as the following GTIN series: GTIN-8, GTIN-12 ,GTIN-13 and GTIN-14. Apart from these series you can also freely enter GTIN via the free format series. GTIN-14 is the one used for identifying different packages.

In this activity, you can create several GTINs for the part SKU (Stock Keeping Unit) level and to each of those GTINs you can connect a set of GTIN-14 per package. A GTIN can be created either automatically or manually. The GTIN is normally owned by the manufacturer, so if you buy the part from another manufacturer you enter the manufacturer's GTIN manually, but if you are the manufacturer of the part you can create the GTIN automatically according to the sequence and GS1 Company prefix of your default company. If you automatically create a GTIN-14 for the part SKU level, it will always starts with a zero (0).

Once you create the first GTIN for a part, the Default check box will be selected. However, the default GTIN can be changed afterwards via the right-mouse button menu. When you create a GTIN, the Used for Identification check box will be selected and if the check box is modified, the date stamp will appear in the Used for Identification Modified field. It is not possible to use the same GTIN for identification for more than one part.

When you create GTIN-14 for packages, you should enter the package indicator. The package indicator together with the connected GTIN is used for generating the GTIN-14. However, it is possible to manually enter a GTIN-14 if needed.

Prerequisites

• To create GTIN automatically, the GTIN company prefix must be defined in the Part Basic Data/GTIN tab and added to the Company/Distribution/General tab.
• To create GTIN-14 for packages, the default input UoM must have been defined for the part catalog and the GTIN must be of series GTIN-8, GTIN-12 or GTIN-13.

System Effects

• If the Used for Identification check box is selected, the created GTIN or GTIN-14 can be used for identifying the part when you enter customer orders, receive incoming customer orders etc.
• If the Default check box is selected, the created GTIN with connected GTIN-14 will be used for the part when GTIN or GTIN14 is printed on documents, sent in messages, shown in the application etc.

Create GTIN Automatically

Procedure

To create a GTIN automatically for the part:

1. Open the Part window and search for the part number.
2. Click the GTIN tab.
3. Create a new record.
4. Right-click and then click Create GTIN Automatically.
5. In the Create GTIN Automatically dialog box, change the default company if necessary.
6. Enter a value in GTIN Series list.
7. Click OK.
8. If required, change the Used for Identification check box.
9. If required, change the default GTIN by right-clicking on the GTIN you want as the default value, and then clicking Set Default GTIN.

To create a GTIN manually for the part:

1. Open the Part window and search for the part number.
2. Click the GTIN tab.
3. Create a new record.
4. Manually enter a value in the GTIN field and click a series in the GTIN Series list.
5. If required, change the Used for Identification check box.
6. Save the record.
7. To add several GTINs to the part, repeat steps 4-7.
8. If required, change the default GTIN by right-clicking on the GTIN you want as the default value, and then clicking Set Default GTIN.

When you have created GTIN manually or automatically, you can add GTIN-14 per package:

1. Follow one of the procedures above to create GTIN 8, 12 or 13 for the part.
2. On the Part/GTIN tab, select the GTIN in the upper table for which you want to connect GTIN-14 per package.
3. Create a new record in the lower table and select the input UoM from the list.
4. Enter the package indicator. The package indicator together with the connected GTIN is used for generating the GTIN-14 upon saving.
5. Manually enter GTIN-14 for package, if the one generated is not sufficient.
6. If required, change the Used for Identification check box.
7. Save the record.
8. To create GTIN-14 for other packages, repeat steps 1-8.
