Enter Document Text

Explanation

Use the document text function to enter a text that will be printed on your chosen document. You can add document texts to a wide range of documents, such as purchase orders, order confirmations or customer invoices. You can include general texts and standard phrases when entering a document text.

You can link the document text to the header or to each line separately. However, in some documents you can only link a text to the header and in some only to the lines.

When the text is linked to the header, the text is printed at the bottom of the document. Text that is linked to a separate order line is printed underneath the line in question. It is possible to change or remove a previously entered document text.

When a document text is linked to a header, the Document Text check box on the header is marked. When a document text is linked to the line, the Document Text check box on the line is marked. Observe, however, that check boxes do not always exist.

The check box Document Text on the header is marked when a document text is entered in the header. If the document text is entered on the line the check box Document Text on the line is marked. Observe, however, that check boxes do not always exist.

The document text is then printed on the documents that you have specified for the output type. The document text is printed at the bottom of the document when it is linked to the header and underneath the line in question when it is linked to the line.

Procedure

Entering a document text in the header:

  1. Place the cursor in the header. Right-click and then click Notes and Tests\Document Texts… to open the Document Texts for window.
  2. Select New.
  3. Select an output type by using the List button.
  4. In the Notes column, enter the text that will be printed, or use the List button to select an existing phrase.
  5. Save and close the window.

Entering a document text on the line:

  1. Mark the appropriate line on which you want to enter a document text.
  2. Right-click and then click Notes and Tests\Document Texts… to open the Document Texts for window.
  3. Select New.
  4. Select an output type by using the List button.
  5. In the Notes column, enter the text that will be printed, or use the List button to select an existing phrase.
  6. Save and close the window.

Removing a document text from the header:

  1. Place the cursor in the header. Open the Document Texts For window by choosing Notes and Tests\Document Texts… in the Operations menu.
  2. Populate to view the existing document texts.
  3. Mark the line you want to remove and click on the Remove button.
  4. Save and close the window.

Removing a document text from the line:

  1. Mark the proper order line.
  2. Right-click and then click Notes and Tests\Document Texts… to open the Document Texts for window.
  3. Populate to view the existing document texts.
  4. Select the line that you want to remove and click on the Remove button.
  5. Save and close the window.
