Create Customer Credit Invoice

Explanation

This activity is used to create credit notes and credit invoices on customer order debit invoices and customer advance invoices, independent of the material returns. This can be useful when a price correction is needed or when the debit invoice was created with wrong data.
Additionally, credit notes can be created for customer order returns (RMA) after the return has been entered. This is performed in the Return Material Authorization window.

If a credit invoice exists, the total accumulated credit amount for the particular debit invoice is shown in the Credited Amount field. It is possible to create more than one credit invoice for the same order, and for more than the debited amount. If the order has been credited before, a message appears informing you about the credit along with the previously credited amount.

If the invoice contains rental invoice lines the credit invoice will generate correspondent rental transactions. Rental credit lines cannot be updated. Any changes are done by adjusting the rental events and generating adjustment rental transactions. Those, together with the recreated debit transaction can be used to create a correct invoice.

Prerequisites

A customer order debit invoice or a customer advance debit invoice in the Posted/Authorized status should exist.

You can create credit invoices with reference to a debit invoice, even after a correction invoice has been created for it, or when another credit invoice already exists. (Note that unlike from the RMA, it is not possible to create credit invoices with reference to corrective invoices from the Customer Invoice window).

System Effects

A credit invoice is created for exactly the same amount as the debit invoice. The status of the invoice is Preliminary.

If the credit invoice has a reference invoice, the Latest Ship Date field on the Customer Invoice/General tab will display the latest shipping date of the reference invoice. A latest shipping date is not displayed, if there is no reference invoice or if the reference invoice itself has no latest shipping date.

If the original invoice is associated with a project, the credit invoice is also posted to the same project.

If the invoice contains rental invoice lines correspondent rental transactions will be created. A credit transaction that is used for the credit invoice, that is directly set to status Invoiced. Another transaction with transaction type Recreated is generated. This can be used to create a new debit invoice. If tt is not set to invoiceable, that must be manually updated if the transaction should be invoiced later.

Procedure

To create a credit invoice from the Create Customer Credit Invoices window:

  1. Populate or query for the appropriate customer order.
  2. Create a credit invoice by right-clicking and then clicking Create Credit Invoice.
  3. Click OK to create the credit invoice. To change the information in the credit invoice, use the Customer Invoice window.
