Link Configuration to Notification Recipients

Explanation

This activity is used to define the persons who should receive notifications when health and safety incidents are registered in the Incident window.

Prerequisites

In order to perform this activity;

• Distribution list configurations are required to be already defined in the Distribution List Configuration window.
• Persons are required to be already defined in the Person window.

Procedure

1. Open the Distribution List Basic Data window and create a new record.
2. In the Notify To field, specify the type of person who should be notified for this setting.
3. If the value in the Notify To field is Person or External Person, the relevant person ID should be entered in the Person ID field. Also, one of the communication methods already defined for the person in the Person window should be entered in the Comm ID field.
4. If the notification recipient should be any person who is delegated a specific task in an incident report, this specific task or role can be given in the Notify To field. E.g. If the person who is set as coordinator in the incident report should be notified when the incident is registered, you can select Coordinator in the Notify To field.
5. In the Distribution List Config ID field, enter the distribution list configuration which should apply to the person.
6. Specify the validity of the notification setting using the Valid From and Valid To fields.
7. In the Notification Type field, specify whether notifications should be sent to this recipient automatically when incident criteria (given in the distribution list configuration) is fulfilled or whether notifications should be released manually after the incident is registered.
8. Save the information.
