Select Balance Information Via Structure
Explanation
Use this activity to select balance information in the general ledger via a query and
reporting structure.
Prerequisites
Before balances can be selected, the following must have been completed:
- The authority rules for making queries must have been specified. This is done via the
Authority folder in IFS/General Ledger.
- The query and reporting structure must have been specified in
Structures in IFS/General Ledger.
System Effects
As a result of this activity, the user can use the Zoom-in function to define how the
balances are to be displayed on screen.

Procedure
Use the following procedure to select and display balance information:
- Open
GL Structure
Balance Analysis.
- By using the Query function, find one or more structures for which to
retrieve information. (The cursor must be placed in the upper part of the window.) All
information on the structure's highest level is displayed per project in the Structure
Query tab. The total is displayed on the last row in the tab. The remaining structures
meeting the search criteria are displayed in the Structure ID field. Click the Zoom-in
button and check Period in the dialog box. The accounting periods involved are displayed.
You can check several boxes in the Zoom-in dialog box to display information in another
way.
- Click in some of the fields in the Structure Query tab. Use Query to
retrieve information on a certain level or node in a structure. When performing this
query, you can specify a budget version for comparing budget and project balances. Use the
Zoom-in button to display the information in another way.
- You can select one or more rows, then select the Voucher Information
operation (via the right mouse button). All the voucher rows that created the balances are
displayed in this window.
