Register Employment General Data

Explanation

This activity is used to register the general employment data. This includes the employee category, work location, evacuation area etc.

Prerequisites

In order to perform this activity, the employee has to be registered in the system.
ID-Card No. is used together with IFS/Time and Attendance.

System Effects

Master Employment
The master employment information controls which employment is the master in case the employee holds more than one employment in the company (has more than one employee number). Via the master employment the primary position, the organization unit and other important data are derived. 

Employee Category
Employee category is used to group employees for various reasons. Examples:
When transferring transactions to payroll, the category is one way to define which employees should be transferred simultaneously.
When defining the standard hourly cost for employees, the category can be used to group those with the same rate. 

Card No.
The card no is used by the data capture devices for time and attendance and shop floor employee reporting. The card no identifies the employee using the device.

Evacuation Area
The evacuation area lets you print out the alarm report with all the clocked in employees. For this purpose the information is only relevant when using IFS/Time and Attendance together with the data capture device.

 Public Remark
The public remark is displayed in windows accessible to all users, e.g., in the public employee information window you reach from the People Finder Web function.

Procedure

  1. Open the Employee window and navigate through the Employment tab to the  General tab.
  2. Search or populate to find the relevant employee.
  3. If the employee has several employments (Employee IDs) in a single company, you can use the Master Employment check box to indicate his master employment. There are many functionalities in various areas of IFS Applications that will automatically use data from the employee's master employment.
    Note: Selecting this checkbox will automatically deselect it in the previous master employment.
  4. In the Signature field, you can enter employee's signature.
  5. In the Card No. field, you can enter a card number that is readable by a data capture device. If a data capture equipment reads this number, it will automatically connect it to the ID of the employee. This functionality is used, for example, in IFS/Time and Attendance.
    Note: The number of characters registered here should be the same as the number of characters, which the terminal reads. If necessary, fill out the number with zeros at the beginning.
  6. In the Evacuation Area field, enter the area where the employee is supposed to go during the evacuation, e.g., a parking lot. The evaluation area is used in the emergency evacuation list. You can use the list of values.
  7. In the Employee Category field, enter a category to which the employee belongs. Employee categories are used to handle employees in groups in various functionalities. Examples would be:
