Assign Employee to New Position or Job

Explanation

This activity is used to change a position or job of an employee who is already employed. It will end the old employment of a person and give them a new one.

New Primary Position

In the assistant, select "Set the new position as primary", from the "Select what to do" list.

When changing the primary position assignment you should consider if there is a need to keep the old position as secondary for a certain time. This is recommended when the employee has supervisory tasks such as authorizing time and/or expense sheets. To keep the old position as secondary you only have to enter the date until the overlap should be effective. The previous subordinated employees will then remain accessible till this date. The function inserts a new primary position assignment and ends the previous primary position assignment. If an overlap date is entered, the previous primary position will remain active with secondary position status.     

New Secondary Position

In the assistant, select "Set the new position as secondary, keep current primary position", from the "Select what to do" list.

This option is useful when one supervisor should administer the employees of another supervisor. E.g., in times of vacation or sickness. By adding a position as secondary, the access to employees is extended without changing any other conditions.  

When you enter a new secondary position, this position is added to the current list of position assignments held by the employee. The accessible employees will be effected according to the position access definition. 

New Job 

In the assistant, select "Set job information only", from the "Select what to do" list.

This is the option for changing the job assignment and letting the employee keep the same position. 

Prerequisites

In order to perform this activity, the employee has to be already assigned to a position and/or job. 

System Effects

As a result of changing the position assignment, access rights might change for the employee.

Changing the job assignment mainly effects the prerequisites for the Strategic HR processes since the job is the carrier of the competency related job requirements.

Procedure

  1. Open the Change Organization and Job Assignment asssitant.
  2. Enter the company ID in the Company ID field. You can use the list of values.
  3. Enter the employee ID in the Emp ID field. You can use the list of values.
  4. The employee's current primary position and primary job assignment information will show in the relevant fields.

    To assign a new position:
  5. Select the Set the new position as primary option if you want to change the primary position assignment. Otherwise, select the Set the new position as secondary option to assign a new secondary position.
  6. Specify the new position in the Position ID field.
  7. Specify the validity period for the position assignment in the Valid From and Valid To fields.
  8. In the End Date field, specify the date on which the previous position assignment ends.

    To change the job assignment;
  9. Select the Set Job Information Only option and click Next to go to the next step.
  10. Enter the job ID which should be assigned to the employee in the Job ID field. Select a value using the list.
  11. Specify the period of assignment using the Valid From and Valid To fields.
  12. Select the Set as Primary Job check box if you want the job to be the primary job assignment for the given period.
  13. Click Finish. Go to the Employee/Employment/Assignment/Job Details tab to see that the job is assigned to the employee.
