Enter Communication Methods

Explanation

This activity is used to connect different communication methods to a party ID. The part ID could be a company, customer, supplier, person, manufacturer, owner, forwarder, customs or tax office. The communication method can either be specific for an existing address ID or valid regardless of address ID. The different communication methods available in IFS Applications are phone, mobile, fax, pager, e-mail, intercom, messenger and www.

If you enter more than one record for the same communication method or for a particular combination of communication method and address ID, you should also select which record you want as default. If no record is selected as default, the system might not be able to present the correct communication method information.

Prerequisites

In order to perform this activity, the party ID to which the communication methods are to be connected must exist in the system.

As a result of this activity, communication method information can be presented by other functions in the system.

Procedure

  1. Open the relevant window and query for the party type ID for which you want to enter communication method information. For example, if you want to enter communication methods for a company, you have to query for the relevant company ID in the Company window.
  2. Create a new record in the Comm. Method tab.
  3. Enter the name and description for the communication method.
  4. Select a value from the list for the Communication Method field.
  5. In the Value field, enter the value for the communication method. For example, if you selected Phone for the Communication Method field, enter the phone number in the Value field.
  6. Select the Default per Method check box if you want the value you entered in the Value field to be default for the communication method during the time period you specify in the record.
  7. Enter an address in the Address field if you want the information in the row to be valid only for a particular address. The List of Values can be used to select the relevant address ID.
  8. Select the Default per Method and Address check box if you want the value you entered in the Value field to be default for the combination of the communication method and address ID specified in the record.
  9. If you only want the communication method value to be valid for a specified time period, enter values in the Valid From and Valid To fields. However, the validity of the communication method is not applicable for the documents in the Account Receivable and Account Payable ledgers.
  10. Save the record.
