Define Code String

Explanation

This activity is used to define how the company uses code parts when creating financial transactions. The products in IFS Applications can use 10 code parts. This mandatory task is to be performed by a system administrator or equivalent person.

One or more code parts can be used for creating postings. Each code part has an internal part, which can be translated.

Code part A is always the account code part used in the general ledger. It must always be available for use. 

Code parts B-J are optional and can be defined by the user. Depending on the components installed, an optional code part can be used for a special function, such as current balance, internal elimination, FA accounting, project accounting, consolidation, or internal. These code parts can be specified as available or not available in the company. An unused code part must be disabled in the Account window or in the Account Types window. 

Logical code parts, available when IFS Maintenance or IFS Engineering are installed, allow you to connect logical code part values, e.g., Cost Center, Project, or Object, to code parts B-J. If Project Administration is used in IFS Engineering, the Code Part Function field must be set to Project Accounting and the Logical Code Part field must be set to Project. The logical code part value, Not Used, can be connected to all code parts at the same time, and is the only acceptable value for code part A. It is also possible to select a code part value to be used as the base for project cost/revenue elements. A code part value which is set as the base for project cost/revenue elements must not have a code part function connected to it.

Procedure

To perform this activity, follow these steps:

  1. Open the Define Code String window.
  2. Query for all code parts.
  3. In the Code Used list, select Yes to make the code part available for use in the company, or No if the part will not be used.
  4. In the Code Part Function list, select the special function to use for the code part.
  5. In the Logical Code Part list, select the logical code part value to use for the code part.
  6. To change the number of characters for the code part, use the Max No of Char field.
  7. To change the code part description, use the Description field.
  8. Select the parent code from the List of Values.
  9. To edit the parent code description, use the Parent Code Part Description field.
  10. To set a code part as the base for cost/revenue elements, select the code part, right-click and then click Base for Project Cost/Revenue Element if you want the code part to be used as the base for project cost/revenue elements.
  11. To edit the name used for optional code parts B-J, use the Internal Name field. 
  12. To edit or translate the tab name, right-click on the name to translate, and then click Translation.
  13. Save the changes.
