Create Document Transmittal

Explanation

This activity is used to create a document transmittal. A document transmittal is a means by which the flow of documents out of the office (to the client, consultants and other involved parties), is controlled and documented. One or several documents can be connected to a transmittal, and distributed to one or more recipients.

Prerequisites

If you are connecting projects to the document transmittals and require each project to have a unique set of of transmittal IDs, you must create a transmittal counter in the Document Transmittal Counters window before performing this activity.

System Effects

As a result of this activity, a document transmittal is created and it can be connected to documents.

Procedure

  1. Open the Transmittals or Transmittal window.
  2. Create a new record. (F5)
  3. Optionally, enter a value for the Project ID field or use the List of Values to select a suitable value.
  4. Optionally, select values for the Sub Project ID and Activity ID fields.
  5. Enter a value in the Transmittal ID field. (If a transmittal counter has been created for this project the transmittal ID will be automatically generated when saving the record.)
  6. Enter a description in the Transmittal Description field.
  7. Select a value for the Direction field.
  8. Enter a value for the Expected Send/Receive Date field.
  9. Enter a value for the Expected Latest Comment Date field.
  10. Optionally, enter or modify the values in the remaining fields.

Note: A document transmittal can also be created, connected to documents and sent using the steps in the Transmittal Assistant which can be accessed through the navigator, through the Transmittal window, the Document Revision window and the Document Revisions window.
