Define Clocking Rounding Rule

Explanation

This activity is used to define rounding rules that should apply for clocking records. When you define a rule, you must separately specify how clocking records of In type and Out type should be rounded. Rounding rules can be defined to work in two separate modes. It can apply on a minute by minute basis or it can apply for a defined time interval.

Procedure

To define a rounding rule which applies for minute mode;

  1. Open the Rounding Rule Definition window and create a new record.
  2. Enter a rounding rule ID and rounding rule description in the relevant fields.
  3. If the rounding rule should apply minute by minute, select the Minute Mode check box.
  4. Create a new record in the table of the window.
  5. In the Minute field, enter the minute in the hour at which rounding should apply.
  6. Select the First/Last Clocking check box if only the first and last clocking records created by employee should be rounded using this rule.
  7. In the Clocking Type field, specify whether this rounding record should apply to the In type clocking or the Out type clocking. Select a value from the list.
  8. In the Rounding Value field, enter the value by which a clocking records should be rounded.
  9. Save the information.

To define a rounding rule to apply within a specific time interval;

  1. Create a new record in the Rounding Rule Definition window and enter a rule ID and description in the relevant fields.
  2. Create a new record in the table of the window.
  3. Using the From Time and To Time fields, specify the time interval to which the rounding definition should apply.
  4. If required, select the First/Last Clocking check box as in the previous procedure.
  5. Enter relevant values in the Clocking Type and Rounding Value fields as in the previous procedure.
  6. In the Rounding Threshold Interval field, enter the number of minutes to define the threshold interval. If the employee clocking record is within the rounding threshold interval, the rounding will not apply.
    E.g.: Consider that the rounding value specified in step 5 is 15 minutes (i.e. clocking records will be rounded to the nearest 15th minute) and the rounding interval specified in step 4 is from 8:00 to 9:00. If the rounding threshold interval is 5 minutes, threshold intervals of 5 minutes will apply based on the rounding value as 8:00 - 8:05, 8:15 - 8:20 etc.
     
  7. In the Rounding Type field, specify whether clocking records should be rounded up, down or by the start or end times given in step 4 of this procedure. Select value from the list.
  8. Save the information.
