Register Personnel Data
Explanation
This activity is used to register the personal details of employees injured
in the incident.
Prerequisites
In order to perform this activity:
- Persons are required to be defined in the
Person window if you
want to register details for internal
persons.
- Basic data for incident reporting such as incident types etc. are
required to be already defined in the
Incident Basic Data window.

Procedure
- Open the Incident window. Ensure that the required incident case is
selected in the header.
- Go to the Incident/Personnel Injuries and Illness
tab.
- If some records are already registered, check if their status is
Confirmed. If not, select records and right-click and click Confirm
ito confirm person's identity and injuries they suffered.
- Create a new record in order to add people to the list.
- Select the External check box if you want to enter details of a
person who is not already registered in the system or is not in the company.
- In the Person ID field, specify the ID of a person in company who
you want to register. You can use the list of values. All employee data -
the person's name, company in which the employee has the master employment,
the position assignment, address information etc.- is fetched automatically
from employee files and will show in the respective fields.
- If required, especially for an external person, enter the date of birth,
gender and address information in the respective fields.
- In the Company ID field, enter the company to which this external
person should be registered.
- Save the information. Note that the identifier for the external person will be
automatically created by the system. This unique identifier will show in the
Person ID field. Such identifier, created for the external
person, will not be connected to person ID's saved in the
Person window.
- If required, you can enter additional information in the Pre-Incident,
Substances Involved and Remark fields.
- If the incident made the affected person unconscious, select the Loss
of Consciousness check box.
- If required, enter information on restrictions in working time for the
affected person in the Workdays Lost and Workdays Restricted
fields.
- You can specify details on worked hours on the incident date in the
relevant fields, if required.
- Save the information.
- Select the record and right-click and click Confirm in order to
make confirmation of the person identity.
- Repeat the steps in order to enter details of more persons.
