Execution of work tasks involves performing the planned work along with organizing and purchasing the required material, services etc.
There should be checks to confirm that all required resources, material and
services are available during the time interval which the work task is planned
to be executed.
When you are about to execute the work on the work task, you need to make sure
that the required materials are available. In this case, create a pick list and issue
the required part. Once the part is reserved in inventory,
you can print a barcode label for the part. The barcode label will contain
information used to identify the purpose of the part, i.e., on which work order
and which work task the part is to be used, as well as the barcode that
identifies where the part is picked from. The barcode can be scanned by using a
barcode reader. Even without using pick lists it is possible to reserve and issue
material for the work task directly through the material lines.
It is possible to manually set the work task to the Work Started status when the work has started. Or else it will be changed automatically once the work assignments are started.
Work task can be executed through the work assignments assigned to the required resources. Once the person identifies if he/she can execute the assigned work assignment, he/she will accept the work by changing the work assignment to Accepted status. If the person identifies (after evaluating the situation) that the assigned work is not needed to be done or is irrelevant, the work assignment can be cancelled. If the person has to travel to the location of the fault Start Travel option can be enabled so that it will start recording the time for travel. This sets the work assignment to status OnRoute. Once the technician reach the location and start work the work assignment should be set to Work Started status. If the technician Clock In the work assignment it will automatically set the status as Work Started. This sets the work task status as Work Started as well.
If the technician, while executing the work allocated, identifies that there is additional work to be done or the given work assignment cannot be performed during the time frame due to an acceptable reason, it is possible to add work assignments for the work left or extend the existing one.
During execution of a scheduled maintenance it is possible that a fault is discovered, which needs to be corrected in the ongoing work scope. These type of faults are referred to as non routine faults. Non routine faults must be reported on the work order or work task on which it was discovered. Once the fault is reported, a maintenance event is created automatically for it and added to the work package (maintenance order) for the ongoing work scope. Non routine functionality is only valid for work orders having the VIM distribution type.
During execution of a scheduled maintenance it is also possible to record condition measurements. Sometimes, the measurements are outside the defined condition limits defined in the Condition Monitoring program. When recording measurements that exceed the condition limits, corrective actions are required. For these measurements, a maintenance event is created automatically and added to the work package (maintenance order) for the ongoing work scope. The condition measurement functionality described here is only valid for work orders having the VIM distribution type.
Once work on a work assignment is performed and you have clocked out (if using the Clock In/Clock Out functionality), you can set the status of the work assignment to Work Done. Although it is possible to change the status as Complete if the assigned work is done. If the technician was unable to complete the assigned work the status can be set as Incomplete and create an additional work assignment for the remaining work if needed.
If the work planned on the work task is completed work task can be set to Work Done. If Executor sign off requirements have been defined on the work task, the sign off will be performed automatically when moving to this status. Note that if certificate requirements have been defined on a sign off requirement, you must have the necessary certificates to perform the sign off. Note: When all required signatures related to Inspector and independent sign off requirements, have been signed off on a work task already in the Work Done status, this work task will be set automatically to the Finished status.
The process Report Work Task is used both for internal and external maintenance. When using internal maintenance, you have your own employees in the business who have knowledge of maintaining the objects within the company. By external maintenance we mean all kind of service or maintenance performed against a customer and his objects.
To set the work tasks as reported you should report in actions, time, tool/equipment, expenses, external costs and unissue or return parts that were not used or replaced. Once the reporting is done, work task transactions need to be authorized and then the financial manager creates a voucher. Voucher updates are conducted from a hold table in IFS/Accounting Rules. All vouchers generated in any of the modules are placed in the hold table and then updated to the general ledger.
