Create Work Tasks

Explanation

This activity is used to add and modify the work tasks required to complete a work order. If the work should be executed by different maintenance organizations, and different objects you may consider dividing the work into multiple work tasks. At creation, the work task will receive the New status.

Work tasks can be planned on any of the sites that belong to the same company as the work order (provided the user is connected to the site). 

On each work task you can enter a description, long description, maintenance organization, duration, reported/actual object. You can also enter a planned start and planned finish dates, to indicate when the work task should be executed.

If there is a need to invoice the customer (service order) through work task, customer should be defined for the work task. 

When Fleet and Asset Management is used, work tasks and subtasks will be connected to the work order at the time the maintenance order is released. These work tasks and subtasks will receive the New status automatically. The New work task status is intended for allocation of resources at an early stage of the process for preparing a work order.

Procedure

Option 1: Use the Work Task or the Work Tasks window.

  1. Create a new record (F5).
  2. Select a work order to which the work task need to be created.
  3. In the Order No. field, enter a unique number for the order of work tasks. Optionally, you can leave this field blank and a value will be assigned automatically. 
  4. Enter a description about the work in Description field.
  5. Work Order site is displayed in the Site and Maint Org Site fields. If the work is performed in another site change the value in Maint. Org. Site field. Use the List of Values to select another site to which the user is connected, if appropriate.
  6. Enter value in Maintenance Organization field, if appropriate.
  7. Reported Object ID will be inherited from work order if Object ID is defined in work order. Use the list of values to change it, if appropriate.
  8. Enter value in Actual Object ID field if the fault need to be fixed in another object than the reported object. Note: Actual Object ID can be modified during the progression of the work task as well. 
  9. Enter the site and the ID of the maintenance team in the Maint Org Site and Team ID fields if the work task need to be performed by members of a particular maintenance team. Use the List of Values to select a suitable value. 
  10. Enter value in Duration field, if appropriate. This represents the time that is required to execute the work task.
  11. Enter the Customer No if there is a need to invoice the customer for the services provided through the work task. (only applicable for IFS/Service Management). 
  12. Organize the work tasks according to the jobs if required. Enter a value in the Job ID field of the particular work task.
  13. Enter a date interval for the work task, if appropriate.
  14. Enter the task card type and location (only applicable for Fleet and Asset Management). Use the List of Values to select a suitable value. 
  15. In the Internal Remark field, you can enter internal information on the work task. This can be, for instance, handover information between shifts.
  16. Save the information (F12).

Option 2 : Use the Prepare Work Order , Report In Work Order , Prepare Work Order Quotation/Prepare or the Work Order Structure window.

  1. Query for a work order to which the work tasks are to be added.
  2. Select the Work Tasks tab.
  3. Follow the Steps from 1-16 as Option 1, if appropriate.
