Using Drafts

Explanation

Use Drafts when you are unable to complete a registration, e.g. you might not know what information to enter in a mandatory field, and want to complete the registration at a later time. The draft will create a task in your task list as a reminder. The drafts you create are personal and stored in the user profile.

Procedure

Create a Draft

There are two different options to create a draft:

Option 1. Start entering information in an IFS Applications page. Select Save as Draft from the Save button drop-down list. The Save as Draft dialog box will open.

Enter a name for the draft. You can also add a description. Save the draft by clicking the OK button. The draft will also create a task to remind you to complete the registration later.

Option 2: If you try to save an incomplete record, a message will inform you that the record is incomplete and ask if you would like to save the information as a draft. Click the Save as Draft button and follow the same steps as above.
Note: When you have saved an object as a draft the application form toolbar will change color to indicate that you are working with a draft.

Regardless how you created the draft, option 1 or options 2, the draft is presented with a red page header.

Complete a Draft

You can access your drafts from the Task panel or via Drafts in the New button drop-down list

Access Draft from Task panel

Open the Task panel in the Context pane. There will be a task for each draft you have created. Simply click the subject of the task. This is linked to the draft and will open the draft page. (Figure 3). You can now complete the registration and save the record.

Note: Since there is a task created for the draft you can share/reassign this to another user to get assistance with the completion of the data. Read more about Using Tasks.

Access Draft from New Button

Open the page where you created the draft. Click New button drop-down arrow and select Drafts. A dialog box will open displaying all drafts created for this page.

Select the draft you want to complete and it will display in the page as shown in Figure 3. You can now complete the registration and save the record.
