Define Absence Limits

Explanation

This activity is used to allocate yearly absence limits for an employee.

Procedure

Perform the following activity to create absence limits;

  1. Open the Absence window. Query or populate to select the required employee in the Emp ID field.
  2. Go to the Absence Limit Year tab. All the absence groups defined in the Absence Configuration window which have the Show In Absence Limits check box selected will be listed in the Group ID field.
  3. Select the required absence group in the Group ID field using the list. In the Year field, select the year for which you want to allocate limits for the employee. The start and end date of the year depends on the calendar type linked to the absence group you selected.
    Right-click and click Generate Limit to open the Absence Limit Generate Data dialog box.
  4. Select Employee option if you want to allocate limits for one selected employee. In the Employee field, enter the employee ID.
  5. In the Absence Type group box, enter the absence type for which you want to generate a limit for the year.

    Note:
    If you want to carry forward the unused absence limits from the previous year, enter the absence type which is specified as the outstanding absence type for the relevant absence type in the Absence Configuration/Absence Group/Limit Definition tab. The remaining absence limits from the previous year will be allocated as the absence limit.
     
  6. In the Initial Data group box, the start and end dates of the year to which the limits apply will be shown. However, if you are allocating limits for an absence type which is used to carry forward the unused allocation for the previous year, the end date of the period can be adjusted for a longer period than one year.
  7. In the Value field, enter the number of days that should be the allocated limit for the specified absence type. This field is editable only if the Editable Absence Type check box is selected for the absence type in the Absence Configuration/Absence Group/Limit Definition tab. If this check box is not selected for the absence type, the limits will be automatically calculated.
  8. Click OK to create the absence limit record in the Absence/Absence Limit Year tab. The absence limit you defined for the absence type will be listed in the table of the tab.
