Use this process to manually enter supplier payments and manual check payments to the suppliers through the various payment institutes.
Only authorized invoices can be paid. You can either specify the invoice or invoices to be paid or use the Select Batch function to get a general idea of which supplier invoices pr prepayments can be selected for payment.
Offsets between debit and credit invoices can be entered at the same time as the payments. These can be offsets between debit invoices and credit invoices, between invoices and payments on account or between invoices and payments in advance. You can also process invoices that have been placed as parked payments and enter these as paid.
When you enter the payment, a voucher is generated automatically to the hold table in IFS/Accounting Rules. The voucher is updated to the general ledger in connection with the next update.
When a payment is matched with a supplier invoice, the tax
amount in the invoice will be posted to the code strings defined for the
following posting types.
When a payment in advance is entered and matched with an advance invoice, the tax amount included in the advance invoice will be posted to the code strings defined for the following posting types.
Manually entered supplier payments are considered as cashed at entry and are therefore not placed on interim account. Once the invoices are matched with the payment, the payment and the matched invoices will be assigned with a unique ID and a matching date. This matching ID will be shown with both invoices and payments in the relevant queries and reports which will make you easily identify what payments are connected to which invoices.
If payment cancellation is needed there are functions for undoing a whole payment of part of a payment. Undoing means that you post invoices and prepayments as unpaid. When cancellation takes place a voucher is generated that reverses earlier postings.
