Enter Business Activity

Explanation

This activity is used to enter a business activity for a business lead or customer in the CRM-panel or for a supplier in the SRM-panel.

Prerequisites

IFS Outlook Add-In (CRM- or SRM-panel) must have been installed.

As a result of this activity, a business activity is entered for the lead, customer or supplier.

Procedure

  1. Open Outlook.
  2. Select/open one mail or calendar item.
  3. Go to IFS CRM/IFS SRM tab and click on the icon to open the CRM- or SRM-panel.
  4. In the Recipients list, click on the three dots next to the contact for which you want to create the activity. Select Create Activity. From the contact details page, click the + icon and select Create Activity.
  5. Enter required data in the General tab.
  6. The selected contact will be the main contact for the activity. Add or edit contacts in the Contacts tab.
  7. The current user will be main representative for the activity. Add other representatives in the Representatives tab.
  8. In the Opportunities tab you can link existing opportunities to the activity.
  9. Select the View in IFS Aurena check box to open the activity in IFS Aurena.
  10. Select the Create Outlook Meeting check box to create an outlook meeting with same description, time and attendees as the activity. Note that the outlook meeting will be created with information from the activity but changes to the meeting will not be synchronized to the activity. The Create Outlook Meeting check box is only visible when the activity is created from a mail (not from a calendar item).
  11. The Create or connect to Business Mail check box is only visible when the activity is created from a mail (not from a calendar item). If the check box is selected, the mail will be saved as a Business Mail with reference to the activity. If a Business Mail is already created for the mail, it will be linked to the activity.
  12. Save.
