Enter Analysis Results for Purchase Order

Explanation

This activity is used to enter analysis results for a purchase order.

This activity allows you to record the measure quality results against the quality test plan (Control Plan) for a purchase order receipt.

You can change the status of a data point to Complete. Only data points in Complete status are considered when creating control charts or calculating capability indices. Once the data point has this status, the results cannot be edited. You can also create a new control chart if SPC is activated in the Control Plan.

When all data points for an analysis have been reported, you can change the status of the analysis to Confirmed. Once an analysis has been confirmed, the results cannot be edited.

This activity contains a Security Checkpoint which can be activated by an administrator. With an activated security checkpoint on a function you will have to authenticate yourself again in order to fulfill the function. Additionally, whenever a security checkpoint is successfully passed a security checkpoint log is written, creating an audit trail of what has been done.

As a result of this activity, analysis results has been entered, completed and confirmed. Once an analysis has been confirmed, the results cannot be edited.

Procedure

To perform this activity, follow these steps:

  1. Either populate or query to display the appropriate analysis directly in the Analysis Results window in IFS/Quality Management. You also can start from the overview or the tabs in the receipt function. In this case, either populate or query for the appropriate receipt line, select the desired line, and then choose Analysis Details from the Operations menu. The window in IFS/Quality Management opens with the desired analysis displayed.
  2. If the part is serial tracked and variable data type results need to be entered, right-click on the header and click Enter Serial Numbers. The Enter Serial Numbers dialog box is opened. Select the Selected Serial No check boxes for the corresponding serial numbers of the parts included in the analysis. Click OK.
  3. If the part is lot/batch tracked, and if the corresponding lot/batch number has not been filled in Lot/Batch No field in the header, then enter a value in the Lot/Batch No field. Use the List of Values to select a suitable value.
  4. To print a test instruction, right-click in the header of the Analysis window and then click Test Instruction. This test instruction includes all Control Plan lines.
  5. Optionally, in the Analysis Results header, select a filter value for the Data Point Filter field to populate the analysis according to the selected option.
  6. For data points defined as variables, select the Variables tab and enter your results in the Result field. For serial tracked parts, the serial number also needs to be entered in the Serial No field. Use the List of Values to select a suitable value. If the data point has a connection to one or several tools, select a Tool ID and Tool Instance from the List of Values in these fields.
  7. For data points defined as attributes, select the Attributes tab and enter your results in the Nonconformities (c/u) and/or the Nonconforming (np,p) fields. If the data point has a connection to one or several tools, select a Tool ID and Tool Instance from the List of Values in these fields.
  8. If the data type is Categorical and Category Entry Type is set to Single Row (visible in Detail tab), select a category value ID for each data point. If Category Entry Type is set to Multiple Row, enter a quantity for each category value ID for each data point.
    For serial tracked parts, the serial number needs to be entered in the Serial No field for all parts in the sample size. Use the List of Values to select a tool ID and tool Instance from the List of Values in these fields.
  9. Save the changes.
  10. To change the status to Complete, right-click and then click Complete Registered Results. Once the line has this status, the results cannot be edited.
  11. To create a new control chart if SPC is activated in the Control Plan, right-click on the line and then click Create SPC Chart.
  12. To add document text to any line, right-click and then click Document Text.
  13. To print a report of your results for any line, right-click and then click Print Data Sheet.
  14. To confirm a single analysis, right-click in the header of the analysis and then click Confirm Registered Results. Once an analysis has been confirmed, the results cannot be edited.
  15. To confirm multiple analyses, select the analyses in the Purchasing Analyses window, and then right-click and click Confirm Registered Results.
  16. When the analysis results are confirmed, the values in the Variable Result Status, Attribute Result Status Category Result Status and Acceptance Sampling Status fields are updated automatically.
  17. When the analysis results are confirmed, a message appears asking whether you want to register the inspection results. If you want to register the inspection results, click OK. The Register Inspection Results dialog box will open. You can also perform this by right-clicking and then clicking Register Inspection Results.
