Add to Project Quotation List

Explanation

Use this function to add parts and services (no parts) to the project quotation list (PQL). A PQL is a list of parts and no parts which the project and/or delivery project need price quotations from suppliers in order to get the best price. Having arrived at the best prices for parts needed by the project and/or delivery project, the project team could arrive at a better tender for a prospective customer.

Once the part has been added to the PQL, a Request for Quotation (RFQ) is created for it. This RFQ is processed in Purchasing, but necessary changes could only be done from project and/or delivery project, for example changing the required quantity and need date.

Procedure

The first option is to include PQL data when you copy a project.

  1. In the Copy Project assistant, select the Project Quotation List check box in the second step.

Alternatively, you can add the project demand to PQL using the assistant from the Project or Project Product windows as follows:

  1. Select the Add To Project Quotation List right mouse button menu option in the Project/Quotation List tab.
  2. In the Add Miscellaneous Procurement Parts to PQL step of the assistant, all parts and no parts from the miscellaneous procurement are listed. Select the check box in the Add To Quotation List column for the parts and no parts you want to add to the quotation list. Select All and Clear All options are available.
  3. If the project is not a delivery project, you will go directly to Specify PQL Dates and Quantities step in the assistant by clicking the Next button. Here you can modify the date and quantity information as required. When you are finished, click Finish. The selected parts will then be added to the quotation list. If any of the rows you selected already existed in PQL, the quantity in PQL is updated with the required quantity as listed in the Total Required Quantity.
  4. Otherwise, if Project Delivery is installed, and the project is a delivery project, clicking the Next button will display the Add Part Definition Parts to PQL step in the assistant, where you can add project parts to the quotation list. The table lists all part definitions in the project, and you can select the check box in the Add To Quotation List column for the parts you want to add to the quotation list. The default site for the project will be used as the site in PQL for these parts. When clicking the Next button, Specify PQL Dates and Quantities step in the assistant will be displayed. Here you can modify the date and quantity information if you want. When you have finished, click Finish. The selected parts will then be added to the quotation list. If any of the rows you selected already existed in PQL, the quantity in PQL is updated with the required quantity as listed in the Total Required Quantity field.

Another option is to add demand manually by following these steps:

  1. Select the desired rows in Project/Demand/Misc. Parts, Project Navigator/Demand/Misc. Parts, Activity/Demand/Misc. Parts, or Project Product/Demand/Misc. Parts tab.
  2. Select the Add to Project Quotation List right mouse button menu option.
  3. The selected parts will then be added to the quotation list.
