A work task template serves as a template for preventive maintenance (PM) actions,
by simplifying the creation of the PM action.
The
difference between a work task template and a PM action is that the work task template as a template is not connected to an object but to
the categories. Also, a PM plan will not be generated on the work task template even
though generation criteria can be defined on the work task template.
Work task templates can be categorized according to the object's object type, object category, type designation, item class and part number. They can also be categorized as mobilization or demobilization jobs, to be used in a rental business process. The categorization helps to group similar work task templates together. Another way of grouping work task templates is to connect the work task template types. Examples of work task template types are: Overhaul, General Maintenance, Inspection, Assemble, etc.
PM actions can be directly generated from a work task template. When a PM action is generated, all the information included in the work task template will be copied to the PM action. Consequently the information will be copied to the work order generated from the PM action. Work task templates can also be connected to the work orders and service contracts.;
New work task templates can be created by copying existing work task templates. Note: You can only use this feature to create new work task templates, and not to create new work task template revisions. Work task template revisions are created using the Create New Revision right mouse button option.
Revision control gives you the possibility and control on deciding having revisions of work task template; or do all updates on work task template itself without having revisions. This can be performed in the Work Task Template window. If revision control is enabled, a work task template revision that is in use (i.e., a revision where the PM actions have been generated, or where connections have been made to PM actions and work orders through jobs and templates) can only be updated with restriction. Major changes that change the base definition of the task template such as adding/removing work list lines, entering maintenance triggers or changing the maintenance organization cannot be performed. When major changes are required, a new work task template revision has to be created and pushed out to where it's used. If revision control is disabled you can make any changes to the work task template without having to create new work task template revisions but it will not be possible to keep track of any changes done.
The status of a work task template revision can be any one of the following:
Preliminary - A new work task template or a new work task template revision will always receive the Preliminary status. A preliminary work task template revision is not considered to be active, i.e., it cannot be used to generate PM actions or to connect to work orders or service contracts. A work task template revision in the Preliminary status can be updated and deleted.
Active - An active work task template revision is used to generate PM actions, and it is also connected to work orders or customer service contracts. If revision control is enabled, an active work task template revision can only be updated as long as the PM actions have not been generated, or as long as connections do not exist to the work orders or service contracts. Minor changes (such as changing the planner or the operational status) are allowed. If you want to make major changes (such as connecting new work list lines, new material lines or changing maintenance triggers) to an active work task template revision which has connections to PM actions, work orders, or service contracts, you can do that by creating a new revision. If the revision control is disabled on an active work task template, you can make major changes in the same form without creating a new revision but you will not be able to keep track of changes done. A work task template can only contain one active revision at any given time. Therefore, the previously active work task template revision's status will be set to Obsolete by the system, once the new revision's status is set to Active.
Obsolete - A work task template revision is set to Obsolete when it is no longer in use, i.e., if the revision is outdated or invalid (described below) or when a preliminary work task template revision's status has been changed to Active.
The status of the work task template revision is changed by using the right mouse button options. A new work task template revision can be created from any status.
The effectiveness of an individual work task template revision can be limited by providing a life span. Work task templates which fall outside the specified date limits are invalid or outdated and should be made obsolete.
The life span will be inherited by the generated PM action, and will in turn be used to limit the effectiveness of the PM action. Note: In order to generate PM actions, a work task template revision must be active and valid.
A work task template can be connected to PM actions, work orders, or service requests through Jobs and Templates tab.
You can enter work instructions, work list requirements, resource demands (person and tool/equipment), material requirements (for inventory parts as well as non-inventory purchase parts), external costs, expenses, valid sites, PM action generation criteria, and also connect documents and permit types to a work task template. Furthermore, you can specify how all lines connected to a work list line, such as resources, material, and planning lines defined on the work task template should be invoiced to a customer by defining the quantity to invoice, prices, fixed price, etc in the relevant tabs (this feature is only applicable to IFS/Service Management).
A PM action will receive this information if a work task template has been connected to it through Jobs and Templates tab, or if the PM action is generated from the work task template. Consequently, the information will be copied to the work order generated from the PM action. If a non-inventory purchase part is defined as a material requirement in the work task template, a purchase requisition will automatically be created when the work task template is connected to a work order, or when a work order is generated from a PM action (which has a work task template connected).
Work task templates can be connected to a service contracts. On the service contract you connect the work task template to a work type valid for a certain object or object structure. The work task template will be automatically connected to the service request (through Jobs and Templates) when the service contract is entered.
