Create Non Conformance Report (NCR)

Explanation

This activity is used for creating a new non conformance report (NCR). A non conformance is an occurrence where a process is not followed or is not working as defined. There are different ways of detecting non conformances, for example when carrying out quality audits or in the daily workflow. For a business it is important to register and act upon non conformances to ensure the business is run in compliance with quality standards and/or other agreed processes.

There are four ways of creating a NCR:

  1. From the navigator directly via the Non Conformance Report window.
  2. From the navigator via the Create NCR Assistant.
  3. From any IFS Applications business object.
  4. From an audit via the Audit window.

If the NCR is connected to a business object, you can view the business object by double clicking on the icon in the Attachment panel.

Prerequisites

In order to create a NCR from any business object within IFS Application, the object connection to the NCR first needs to be set up in the Object Connections window by a system administrator, to enable the non conformance report option in the Attachment panel.

For all other scenarios, there are no prerequisites for carrying out the create non conformance report activity.

System Effects

As a result of this activity, a new NCR is created in the Planned status.

Procedure

  1. From the navigator directly via the Non Conformance Report window:
  1. Open the Non Conformance Report window.
  2. Click New.
  3. In the NCR No field, enter a unique number or leave it blank for the system to auto generate a unique number.
  4. In the Description field, enter a description of the NCR which describes the attributes of the non conformance. Entering a description is mandatory.
  5. In the Company field, enter a value or click List to select one from the List of Values. Entering a value in this field is mandatory. The default value is the current company that the user ID is connected to.
    Note: Only users with access to the company entered will be able to view the non conformance report.
  6. In the Site field, enter a value or click List to select one from the List of Values. Entering a value in this field is not mandatory.
    Note: If a site has been entered, then only users with access to that site will be able to view the non conformance report. If no site has been entered then all users with access to the company entered in the previous step will be able to view the non conformance report.
  7. In the relevant fields, enter any known information about the non conformance such as Responsible Person ID, Non Conformance Code, Severity ID, Target Completion Date. Click List to select values from the List of Values. Entering values in these fields is optional.
  8. Click Save. The status of the NCR changes to Planned.

  1. From the navigator open the Create NCR Assistant.
  2. In the appropriate fields, enter any known information about the non conformance, such as Non Conformance Code, Severity, Responsible Person ID and Target Completion Date, or click List to select values from the List of Values. Entering values in these fields is optional.
  3. In the Description field, enter a description of the non conformance. Entering a value in this field is mandatory.
  4. In the Company field, enter a value or click List to select one from the List of Values. Entering a value in this field is mandatory. The default value is the current company that the user ID is connected to.
    Note: Only users with access to the company entered will be able to view the non conformance report.
  5. In the Site field, enter a value or click List to select one from the List of Values. Entering a value in this field is not mandatory.
    Note: If a site has been entered, then only users with access to that site will be able to view the non conformance report. If no site has been entered then all users with access to the company entered in the previous step will be able to view the non conformance report.
  6. Click Next
  7. Drag and drop a picture into the box in step 2 in order to attach a picture to the NCR, or click Browse to search for a picture and add it.
  8. Click Next
  9. In the appropriate fields, enter any other known information about the non conformance, such as Reference Details, Source ID, Location ID, Root Cause ID, Raised By, Reference Standard and Reference ID, or click List to select values from the List of Values. Entering these values is optional.
  10. Click Finish
  1. From any IFS Applications business object:
  1. Click Non Conformance Report in the Attachments panel.
    Note: If the Attachments panel does not show a link for the Non Conformance Report, you have to establish the service through nonconformance object connection to the required business object client.
  2. On the Attachments panel, right-click and then click New or click New. The Create NCR Assistant opens.
  3. In the appropriate fields, enter any known information about the non conformance such as Defect Type, Severity ID, Responsible Person ID or click List to select values from the List of Values. Entering values in these fields is optional.
  4. In the Description field, enter a description of the non conformance. Entering a value in this field is mandatory.
  5. In the Company field, enter a value or click List to select one from the List of Values. Entering a value in this field is mandatory. The default value is the current company that the user ID is connected to.
    Note: Only users with access to the company entered will be able to view the non conformance report.
  6. In the Site field, enter a value or click List to select one from the List of Values. Entering a value in this field is not mandatory.

  1. On the header of the Audit window, right-click and then click Create Non Conformance Report. The Create NCR Assistant opens.
