Handle Shortages
Explanation
Use this function to distribute newly arrived parts between the different
orders that have shortages for these parts or to manually clear unnecessary
inventory part shortage records. A shortage occurs when the quantity on hand is
not enough to meet the quantity required for a reservation. When an arrival
entry is made for a part in short supply, a message is displayed indicating that
there is a need for that part.
Prerequisites
- There must be a shortage on an order to distribute parts to it.
- The system parameter Shortage Handling in
Parameters for Distribution and Manufacturing must be set to
Yes.
- The Shortage Notification check box in
Inventory Part/Misc Part Info
must be marked for the inventory part.
System Effects
As a result of this activity, parts are distributed to different orders that have
shortages. When the shortage has been managed, the order can continue in the order flow.

Procedure
Distribute arrived part manually:
- If you are starting in any other window than
Resolve Shortages for Inventory
Part to perform this procedure, use the operations menu in the lower part of
the window. Select either Resolve Shortages or Shortage per Inventory Part,
depending on which window you are using at the moment. The
Resolve Shortages
for Inventory Part window will appear.
- Query for the desired part. The Qty to Distribute field displays the available quantity
to distribute.
- In the lower part of the window, order types and lines with shortage quantities are
displayed. Specify the quantity of parts to be distributed on each order line in the
Qty
to Reserve column.
- Save.
Propose distribution of parts:
- If you are starting in any other window than
Resolve Shortages for Inventory
Part to perform this procedure, use the operations menu in the lower part of
the window. Select either Resolve Shortages or Shortage per Inventory Part,
depending on which window you are using at the moment. The
Resolve Shortages
for Inventory Part window will appear.
- Query for the desired part. The Qty to Distribute field displays the available quantity
to distribute.
- In the lower part of the window, order types and lines with shortage quantities are
displayed. Mark the desired order and select Propose Shortage Resolution by using the
right mouse button. The system then proposes how the parts should be distributed.
- To accept the proposal, save the record. Otherwise, alter the proposal manually and then
save.
Clear shortage records manually:
- Query for the desired part. Lines with shortage quantities are shown in
the window.
- Mark the line(s) you want to remove. Right-click on the marked lines and
then click Clear Inventory Part Shortages. The system will
remove the marked line(s).
