Create Data Row

Explanation

This activity is used to create a data row in a row template. A data row is used for retrieving data from the database and for defining the presentation of data in the report.

In a data row, you can specify the information you want to retrieve from the data source. This is done via the objects code part, account group, consolidation account, structure, account type, attribute or balance amount. A selection is defined via operators, e.g., < or >. For each selection, specify whether the information matching the criteria is to be included or excluded.

Selections can be specified in a data column in the column template, a data row in the row template, and in the report template. If selections are specified in two or three of the templates, only information matching all the criteria is printed.

You can define a detail level specification (DLS) for a data row, i.e., define if a data row is to be printed as one row, or as one row per each unique combination of account and cost center or another criteria. If several detail levels are specified, you can define whether each level is to be printed on a separate line together with the description, or if all levels are to be printed on one row without description. If a data row is to be printed for the number of digits of the account number, specify the account levels for which subtotals must be printed. The Layout tab is used for specifying information that is not retrieved from the data base, e.g., the font style and row indentation.

Prerequisites

In order to perform this activity, you must have created, copied, or imported a row template.

Procedure

  1. Open Row Template and look for the row template to which you want to add a data row.
  2. Right-click in the window and then click New Row, or double click on a row to open the Create Row dialog box. Select the Data Row option and click OK to open the Data Row window.
  3. Enter a row name and a description in the header of the window
  4. Select the relevant check boxes in the General tab and save the information.
  5. Use the Selections tab to limit the information in a data row. Save the information.
  6. Use the DLS tab to split the row presentation into several rows. Up to three levels can be defined. Save the information.
  7. Right-click on a table row and then click Grouping Layout to specify the account levels for which you need subtotals.
  8. The Layout tab contains default values for the row. You can change these values if required.
  9. Save the information.
