Define Employee Status Codes

Explanation

This activity is used to register the employee status codes for the company. Only one status is the Active status. The active status is always the first row displayed in the Employee Status Codes window. This status is defined by the system and you only need to replace the '*' in the description field with the status text of your choice, e.g., 'Active'. There is also one preliminary status code defined by the system. This code applies to employee whenever the employee does not have a valid status.

You enter the 'not active' codes you need. 

When registering a new employee, the status you specify will apply to the employee from the employment start date. Until the employment start date, the preliminary status code will apply to the employee. You can always change the status by using the Set Employee Status right-click option in the Employee window. The status can also be set when extending an employment, terminating an employment or when entering a Reason of Leaving in the Employment / Periods tab in Employee

System Effects

In most windows only active employees are displayed when you open the window or populate. To populate the not active employees you need to use the Query dialog box and enter the status codes you would like to see.

Procedure

  1. Open the Employee Status Codes window.
  2. Populate or query to find the active status code and the preliminary status code in the company. The Employee Active check box and the Preliminary check box will indicate whether the status is active or preliminary.
  3. If you want, change the description of each status code in the Employee Status field.
  4. If you want to enter a new status code, create a new row and enter a description in the Employee Status field.
  5. If you want to make a 'not active' status code obsolete, select the Obsolete check box.
