Edit Document Structure

Explanation

Use this activity to edit one or more documents in a structure. If you attempt to edit (i.e., check out) a structure document, that document and its subdocuments are retrieved, thus maintaining its structure. 

Prerequisites

The document you will be checking out for edit must be defined as a structure document.

System Effects

The structure document and its subdocuments are reserved for editing.

Procedure

  1. Query for a structure document in the Document Revision window.
  2. Click Edit. The Edit Document Structure dialog box is opened.
  3. Document files are checked out to local disk using either their document title and name or their original file name. Select one of the two document naming methods.
  4. Optionally, select the Use Original Folder Structure check box.
  5. Select one of the three options under After Check-Out.
  6. The Select Document check box must be selected to enable a document to be checked out.
  7. If a document's Edit check box is selected, that document will be reserved within the system and checked out for editing. If a document's Edit check box is not selected, that document will be checked out for view as a read-only file.
  8. Click Edit to check out one or more document files for editing. Files are checked out to local disk. A report dialog box displays the files, and whether they were successfully checked out.

Note: These steps can also be performed using the right mouse button options in the Document Revisions and Document Structure Navigator window. To open the Document Structure Navigator, use the right mouse button option Document Structure/Show In Navigator in Document Revision window.
