Add Contract Change Order Contacts

Explanation

Use this activity to add contacts to the contract change order (CCO). The contacts are entered as references but can also be used to log submittal and approval or rejection related to the CCO. A contact person can also be entered as a requester of the CCO.

It is possible to enter multiple address identities to separate your contacts into relevant groups. You can enter multiple contact persons and their contact details within one address identity. A contact person can be set as the primary contact. Multiple contact persons can be selected as external approvers who can approve or reject the CCO when external approval is required.

It is possible to log actions such as the information that has been submitted to a contact person, or that one or several of the external approvers have approved or rejected the CCO. The date when such actions are performed will be displayed on the contact person line.

Procedure

  1. Open the Contract Change Order window.
  2. Select the Contacts tab and create a new record (F5).
  3. Enter values in the Address Identity and Address Name fields.
  4. Optionally, select a country in the Country field.
  5. Select a value in the Address Type Code field.
  6. Optionally, click the Edit menu option in the Address field to enter the address. Optionally, enter notes in the Notes field.


  7. In the table below:
  8. Create a new record (F5).
  9. Enter name, contact details and any other information relevant for the contact person for this address.
  10. Optionally, select the External Approver check box, which indicates that the person is an external approver for this CCO. If the change type for the CCO has the External Approval Required check box selected, then at least one contact person must be set as external approver so that the CCO can be submitted, approved or rejected.
  11. If you require a primary contact person for the record right click and select the Set as Primary Contact menu option. This is just for information.
  12. Save the information (F12).

Note: If the CCO is connected to a sales or sub contract it is possible to copy the contacts from the contract to the CCO by selecting the Copy Contact Info menu option in the Contract Change Order/Contacts tab.
