Define Automatic Day Type Switch

Explanation

This activity is used to control how an employee's in-clocking or out-clocking, or the combination of the in and out clocking should retrieve which working hours (day type) to use.     This feature is normally used for personnel working on shifts who often have to switch between the shifts. This feature removes the need for the supervisor to manually manage the necessary system changes.

By defining the in and out time intervals together with the day type to use, the employee gets the correct day type depending on the clocking information. For example, a clocking in at 5:57 uses the morning shift day type, a clocking in at 13:56 uses the evening shift day type. However, a clocking in at 5:57 and a clocking out at 16:04 may result in the use of the day time day type.  

Investigate which schedules and day types that are most likely to be involved in the day type switch. To find the schedules and day types you can also map the employees involved and then derive the information from the schedule connections.

Note: If time has already been reported by an employee on a particular day when the automatic day type switch is defined, the attendance result is required to be recalculated in the Time Card Day window in order for the day type switch information to be effective on that day.

Prerequisites

In order to perform this activity, the relevant day types are required to be defined in the Work Hour Schedules/Day Types tab.

System Effects

The clocking information will be used by the system to retrieve the correct day type, and the calculation of the time card result will be based on the correct information.

Procedure

To define automatic day type switch;

  1. Open the Automatic Day Type Switch window and create a new record.
  2. In the Schedule field, specify the work hour schedule to which the day type switch should apply.
  3. In the Ordinary Day Type field, select the day type in the schedule to which the day type switch should apply.
  4. Enter a priority order for the day type switch definitions. That is, if there are more than one switch definitions which maybe applicable simultaneously, the priority will be considered to determine which switch definition should apply.

    Perform the following steps to specify the conditions for the day type switch to be effective;
     
  5. Select the relevant check boxes to specify the weekdays on which the day type switch should apply.
  6. If required, specify a time interval during which employee is required to clock in using the In Time From and In Time To fields.
  7. If required, specify a time interval during which employee is required to clock out using the Out Time From and Out Time To fields.
     
  8. In the Switch Day Type field, enter the day type to which the ordinary day type should change.
  9. Specify the time period during which the defined day type switch should be effective using the Valid From and Valid To fields.
  10. Save the information.
