Define Conditions for Limit Allocation
Explanation
This activity is used to define which of the absence types should be
available in the Absence window in order to allocate absence limits for
employees. The conditions that should apply in order to generate the limits can
also be specified.
Once you have defined conditions for limit allocation, you can specify
whether absence limits should be automatically allocated based on the seniority
of the employee or whether limits should be manually entered. If you select the Editable check box
for an absence type in this activity, absence limits can be entered manually.
Prerequisites
In order to perform this activity, absence types should already be created
for the absence group in the Absence Configuration/Absence Type List
tab.

Procedure
- Open the Absence Configuration window and populate. The
absence groups already created will be listed in the tree navigator.
- Click on the required absence group in the navigator to open the
Absence Group tab and go to the Limit Definition sub
tab. Create a new record.
- Right-click and click Set as main reg type in order to set the
absence type as the main type for registration. The Main Registration
Type check box will be automatically selected.
Note: As a result of this step, only the main absence type can be
used for absence registration. The main registration type can use the limits
defined for other absence types when registering absence. All other absence types
in this group will not
be available for absence registration (i.e. the Registration check
box will be cleared for all other absence types).
- In the Absence Type ID field enter an absence type already
created for the absence group.
- Select the Editable Absence Type check box if it should be
possible to manually allocate limits for employees using this absence type.
If this check box is not selected, limits allocation can be automatically
generated for employees based on the parameters specified in the
Absence Limit Definition Details window.
- In the Allocation Order field, specify the order in which the
limits allocated for this absence type should be available in the
Absence Limit Allocate dialog box when absence is registered for an employee. This is only applicable
when the Main Registration Type check box is selected.
- Select the Reallocate Absence Limits check box to automate how
absence limits are reallocated when a carryover limit is generated. If you
select this check box:
- All already registered absences will switch to use the carryover
limit once it is generated.
- Absences from a past year can be changed even after a carryover
limit has been generated.
Note: This is possible only if there is enough standard limit to
temporarily reassign current-year absences which use the carryover
limit.
- In the Rounding Method field, select a value from the list to
specify how limits calculated based on the conditions defined in this
activity should be rounded.
- In the Limit Generation Type field, select a value to specify
whether limits should be allocated for the year in the standard way (i.e.
1/12th of the absence limit allocated for one month) or by considering the parameters
defined in the Limit Setting Parameter window.
- Select the Consider Assignment check box if the absence limit
allocated to an employee using this absence type should consider the work
time value in the assignment type linked to employee.
E.g: If work time value is 0.5, when 14 days are allocated as the
absence limit, the actual absence limit will only be 7 days (50 % of 14).
- Select the Consider Emp Period check box if the absence limit
allocated to an employee using this absence type should consider the length
of the employment period (within a selected calendar year in the
Absence window).
E.g: If employment period is only for 75 % of the year, when 14 days
are allocated as the absence limit, the actual limit will be 10.5 days (
this will be rounded based on the rounding method).
- In the Carry Forward Absence Type field, enter the absence type which should be
used to carry forward the amount of allocated absence unused by employee.
- Select the Correction check box if the parameters defined for the
absence type in the Absence Limit Parameters window
should be applicable when absence limits are allocated to employees using
the absence type.
- Save the information.
